This Privacy Policy describes Our policies and procedures on the collection, use and disclosure of Your information when You use the Service and tells You about Your privacy rights and how the law protects You.
We use Your Personal data to provide and improve the Service. By using the Service, You agree to the collection and use of information in accordance with this Privacy Policy.

The words of which the initial letter is capitalized have meanings defined under the following conditions. The following definitions shall have the same meaning regardless of whether they appear in singular or in plural.

Company (referred to as either “the Company”, “We”, “Us” or “Our” in this Agreement) refers to Easy Business Information Solutions, Tamilnadu India.

Country refers to: Tamil Nadu, India
Device means any device that can access the Service such as a computer, a cellphone or a digital tablet.
Personal Data is any information that relates to an identified or identifiable individual.
Service refers to the Application or the Website or both.
Service Provider means any natural or legal person who processes the data on behalf of the Company. It refers to third-party companies or individuals employed by the Company to facilitate the Service, to provide the Service on behalf of the Company, to perform services related to the Service or to assist the Company in analyzing how the Service is used.
Third-party Social Media Service refers to any website or any social network website through which a User can log in or create an account to use the Service.
Usage Data refers to data collected automatically, either generated by the use of the Service or from the Service infrastructure itself (for example, the duration of a page visit).

Usage Data is collected automatically when using the Service.
Usage Data may include information such as Your Device’s Internet Protocol address (e.g. IP address), browser type, browser version, the pages of our Service that You visit, the time and date of Your visit, the time spent on those pages, unique device identifiers and other diagnostic data.
When You access the Service by or through a mobile device, We may collect certain information automatically, including, but not limited to, the type of mobile device You use, Your mobile device unique ID, the IP address of Your mobile device, Your mobile operating system, the type of mobile Internet browser You use, unique device identifiers and other diagnostic data.
We may also collect information that Your browser sends whenever You visit our Service or when You access the Service by or through a mobile device.

Location Data : Continuous Location Logging and The Storage of Same in the Company (User Being the Employee / Stake Holder of the Company) Operated Server, EasyDairyERP Mobile App has to run in the foreground as flutter foreground task when initiated by the HR of the Company that has easy dairy ERP installed. as the employees move around in un earthly hours of morning and evening in the field and in remote areas, so the Continuous Monitoring of Location is Important to run in BG without interruption by Apple / Android terms, and hence (Continuous Location access and recording the same) Permission is Important from User Side.

Information from Third-Party Social Media Services
If the App or website lets You register or log in through a Third-Party Social Media Service (such as Google), We may collect Personal data already associated with that account, such as Your name, Your email address, Your activities or Your contact list associated with that account.
You may also have the option of sharing additional information with the Company through Your Third-Party Social Media Service’s account. If You choose to provide such information and Personal Data, during registration or otherwise, You are giving the Company permission to use, share, and store it in a manner consistent with this Privacy Policy.
Information Collected while Using the Application
While using Our Application, in order to provide features of Our Application, We may collect, with Your prior permission:
Information regarding your location
Pictures and other information from your Device’s camera and photo library
We use this information to provide features of Our Service, to improve and customize Our Service. The information may be uploaded to the Company’s servers and/or a Service Provider’s server or it may be simply stored on Your device.
You can enable or disable access to this information at any time, through Your Device settings.

We use Cookies and similar tracking technologies to track the activity on Our Service and store certain information. Tracking technologies used are beacons, tags, and scripts to collect and track information and to improve and analyze Our Service. The technologies We use may include:

Cookies can be “Persistent” or “Session” Cookies. Persistent Cookies remain on Your personal computer or mobile device when You go offline, while Session Cookies are deleted as soon as You close Your web browser.

To manage Your requests: To attend and manage Your requests to Us.
For business transfers: We may use Your information to evaluate or conduct a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of Our assets, whether as a going concern or as part of bankruptcy, liquidation, or similar proceeding, in which Personal Data held by Us about our Service users is among the assets transferred.
For other purposes: We may use Your information for other purposes, such as data analysis, identifying usage trends, determining the effectiveness of our promotional campaigns and to evaluate and improve our Service, products, services, marketing and your experience.

- With Service Providers: We may share Your personal information with Service Providers to monitor and analyze the use of our Service, to contact You.

- With other users: when You share personal information or otherwise interact in the public areas with other users, such information may be viewed by all users and may be publicly distributed outside. If You interact with other users or register through a Third-Party Social Media Service, Your contacts on the Third-Party Social Media Service may see Your name, profile, pictures and description of Your activity. Similarly, other users will be able to view descriptions of Your activity, communicate with You and view Your profile.
- With Your consent: We may disclose Your personal information for any other purpose with Your consent.
Retention, Transfer and Disclosure
Retention of Your Personal Data
The Company will retain Your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use Your Personal Data to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.
The Company will also retain Usage Data for internal analysis purposes. Usage Data is generally retained for a shorter period of time, except when this data is used to strengthen the security or to improve the functionality of Our Service, or We are legally obligated to retain this data for longer time periods.
Transfer of Your Personal Data
Your information, including Personal Data, is processed at the Company’s operating offices and in any other places where the parties involved in the processing are located. It means that this information may be transferred to — and maintained on — computers located outside of Your state, province, country or other governmental jurisdiction where the data protection laws may differ than those from Your jurisdiction.
Your consent to this Privacy Policy followed by Your submission of such information represents Your agreement to that transfer.
The Company will take all steps reasonably necessary to ensure that Your data is treated securely and in accordance with this Privacy Policy and no transfer of Your Personal Data will take place to an organization or a country unless there are adequate controls in place including the security of Your data and other personal information.
Disclosure of Your Personal Data
Business Transactions
If the Company is involved in a merger, acquisition or asset sale, Your Personal Data may be transferred. We will provide notice before Your Personal Data is transferred and becomes subject to a different Privacy Policy.
Law enforcement
Under certain circumstances, the Company may be required to disclose Your Personal Data if required to do so by law or in response to valid requests by public authorities (e.g. a court or a government agency).

EasyDairyERP Mobile App
This section explains how the EasyDairyERP mobile app (the “App”) handles calls, chats, mail, notifications, location and device permissions. It adds to the rest of this Privacy Policy and does not replace it. The App is provided by Easy Business Information Solutions, Dindigul, Tamil Nadu, India. Effective date of this section: 26 October 2026.
The App is used by staff of organisations that run EasyDairyERP. In this section, “your organisation” means the company, dairy or other business whose EasyDairyERP account you sign in to.
📞 Voice and video calls
Calls connect only users of your own organisation. Calls are never recorded or stored, and call audio and video are encrypted.
💬 Chat and chat files
Chat messages and chat files (photos, documents, voice notes) stay inside your organisation. Chat files are encrypted.
✉️ Mail
Mail is the only feature that can reach people outside your organisation, as allowed by your organisation’s setup.
🔔 Push notification token
Used only to deliver notifications such as calls, chats and approvals.
📍 Location
Used for field and route activity features, only while you have given location permission.
🎙️ Microphone and camera
Used only with your permission. You can turn them off at any time in your device settings.
Voice and video calling
The App lets you make voice and video calls to other users in your organisation. To connect a call, the App uses your device’s microphone (call audio) and, for video calls, your device’s camera (call video).
- Call audio and video are used only to connect calls between users of the same EasyDairyERP organisation.
- Calls are internal only. The App cannot be used to call people outside your organisation, phone numbers or other apps.
- Calls are never recorded or stored.
- Call audio and call video are encrypted.
- We do not use call audio or video for advertising, and we do not sell it.
Chat messages and chat files
The App includes an internal chat. You can send text messages and chat files such as photos, documents and voice notes.
- Chat messages and chat files are shared only with users of the same EasyDairyERP organisation.
- Chat files are encrypted.
- Chat is internal only. Chat messages and files are not sent to people outside your organisation.
- Chat messages and files are stored so that the people in the conversation can see them, as part of your organisation’s EasyDairyERP account.
The App can send mail. Mail is the only App feature that can reach people outside your organisation. Mail can go to external email addresses, as allowed by your organisation’s setup. The content of a mail, and any files attached to it, go to the recipients you address it to.
Push notification token
When you sign in, your device gives the App a push notification token. This is an identifier that lets notifications reach your device. We use the push token only to send you notifications from the App, such as incoming calls, new chat messages and approvals waiting for you. We do not use it for advertising and we do not sell it. You can turn notifications off in your device settings, but you may then miss calls, chats and approvals.
Location
The App uses your device’s location for field activity features. When your organisation’s HR or administrator turns this on for staff who work in the field, the App can record your location continuously, including in the background, while that feature is running, as described under “Location Data” above. Location data is stored in your organisation’s EasyDairyERP account and used for its field and route activity records. The App uses location only while you have given location permission on your device.
Microphone and camera permissions
The App asks for permission before it uses your microphone or camera:
- Microphone: used for call audio and for recording voice notes in chat.
- Camera: used for video calls and for taking photos to share in chat or in other App features.
You can allow or refuse these permissions, and change your choice at any time:
- Android: Settings > Apps > EasyDairyERP > Permissions, then choose Microphone, Camera or Location.
- iPhone: Settings > EasyDairyERP, then turn Microphone, Camera or Location on or off.
If you turn a permission off, the features that need it (for example calls, voice notes or photos) will not work until you turn it back on.
Data storage, security and retention
Data from the App, including chat messages, chat files, mail, location records and the push token, is stored on servers used to run your organisation’s EasyDairyERP account. Call audio, call video, chat files and other files are encrypted. We take reasonable steps to protect it, but no method of transmission or storage is completely secure (see “Security of Your Personal Data” above).
We keep this data only for as long as it is needed for the purposes described in this Privacy Policy, or as your organisation or the law requires (see “Retention of Your Personal Data” above). There is no fixed retention period. Your organisation’s administrator controls user accounts and may ask us to delete data.
We do not sell your data
We do not sell your personal data, including call audio and video, chat messages, chat files, location or your push token. Calls are never recorded or stored, so there are no call recordings to sell or share.
Deleting your account and data
You can ask us to delete your EasyDairyERP account and the data linked to it by emailing info@easybis.in. Please send the request from the email address linked to your account, or include your name and your organisation’s name so we can find your account.

Children, Links and Changes
Children's Privacy
Our Service does not address anyone under the age of 13. We do not knowingly collect personally identifiable information from anyone under the age of 13. If You are a parent or guardian and You are aware that Your child has provided Us with Personal Data, please contact Us. If We become aware that We have collected Personal Data from anyone under the age of 13 without verification of parental consent, We take steps to remove that information from Our servers.
If We need to rely on consent as a legal basis for processing Your information and Your country requires consent from a parent, We may require Your parent’s consent before We collect and use that information.
Links to Other Websites
Our Service may contain links to other websites that are not operated by Us. If You click on a third party link, You will be directed to that third party’s site. We strongly advise You to review the Privacy Policy of every site You visit.
We have no control over and assume no responsibility for the content, privacy policies or practices of any third party sites or services.

We may update Our Privacy Policy from time to time. We will notify You of any changes by posting the new Privacy Policy on this page.
